Salesforce duplicate management: matching rules and duplicate rules explained
Duplicate leads and contacts quietly break reporting and annoy sales reps. Here is how Salesforce's built-in duplicate tools work and how to set them up.
Duplicates creep into every CRM from web forms, imports, integrations and manual entry. Salesforce has built-in tools to stop most of them, with no code required, but they are often left on default settings or switched off.
Two pieces work together
- Matching rules define when two records count as a match, for example the same email address, or a similar company name plus the same phone number.
- Duplicate rules decide what happens when a match is found: allow the record with an alert, or block it, and whether to report on it.
Start with the standard rules
Salesforce ships standard matching rules for accounts, contacts and leads, with fuzzy logic for names and companies. Review them in Setup → Duplicate Management before building custom rules. They cover most cases.
Alert first, then block
Begin with rules that alert users and report on duplicates rather than blocking them. Watch what gets flagged for a couple of weeks, tune the matching logic, and only then switch the most reliable rules to block.
Report on what slips through
When a duplicate rule is set to report, Salesforce records the matches as duplicate record sets. Build a simple report on those sets so someone owns reviewing and merging them on a regular schedule.
Clean the existing data
- Export and review your largest objects for obvious duplicates first, such as an identical email or website.
- Merge records inside Salesforce so related activities and opportunities move with them. Up to three records can be merged at a time.
- Fix the source: if most duplicates come from one form or integration, change how that source creates records.
Clean data is not a one-off project. It is a small set of rules, one report and a habit. If you would like help setting this up in your org, that is a core part of our Salesforce services.
